Summary
Fort Albany First Nation Band Representatives and Prevention/Intervention Department ensures that the best interests of the children who are involved and/or at risk of becoming involved within Child Welfare. The Executive Assistant to the Child Welfare Manager is responsible for administrative support, record keeping and data entry in all matters pertaining to child welfare protection services ensuring alignment to FAFN policies and procedures as well as the legal framework of the Child and Family Services Act.
DUTIES AND RESPONSIBILITIES:
The “Executive Assistant” shall:
- Maintain a functional master filing system. To file and preserve agency business and service transactions.
- Maintain accurate records of Agency/Ministry correspondence/reports.
- Maintain a confidential secure filing system for all contentious files in the agency.
· Gather and provide documentation from the agency files and other material as required.
· Data Entry – Penlieu System
· Answer calls/inquiries from various organizations and First Nations.
· Screen/place calls and schedule appointments for the Child Welfare Manager in his/her absence!
· Arrange teleconference calls for Child Welfare Manager
· Attend/take minutes of team meetings.
· Draft routine correspondence for Child Welfare Manager
· Make necessary travel/accommodation arrangements for the Child Welfare Manager
· Sit on interview panel when required.
· Open/stamp/record/forward Child Welfare department mail
· Attend training sessions as required.
· Other assigned duties
QUALIFICATIONS
The Executive Assistant must possess most or all of the following qualifications:
· Diploma in Office/ Business Administration or related field.
· Ability to work with office software programs, including spreadsheets, databases, word processing and graphic presentation software.
· Excellent written/oral communication skills
· A minimum of 5 years experience in office administration and management.
· Valid Class “G” Driver Licence
· Must be able to work flex hours and to travel.
· Maturity, initiative, and responsibility.
· Must be able to maintain discretion and confidentiality.
· Able to work independently with minimal supervision.
· Ability to multitask and prioritize daily workload.
· Ability to supervise and direct support staff.
· Liaise and work effectively with management.
· Knowledge of department policies and procedures
· The ability to speak/understand the Cree language would be an asset.
